Microsoft Planner

External System Integration is set up in Altus by default and is automatically enabled.

Planner plans that you intend to synchronise into Altus must be in the same tenant as Altus is installed in.

Unlike the other External Systems that can be used within Altus, Planner Sync does not use Dataflows to keep the data up to date. Instead, the sync process for Planner Plans must be triggered by a user on the client side.

The sync will automatically be attempted whenever a user opens the project in Altus. The sync will automatically run in the background every 5 minutes while the form is open.

The Sync Now button will become disabled for a few minutes immediately after a sync is performed.

Even though the sync is triggered from the client side, there is a still a server side component to the sync activities. It may take a few minutes for task updates to be visible in the Task control after a sync activity.

Note: The user who selects to ‘Sync now’ must have access to the Planner plan in order for the synchronisation activity to be successful.

When Planner Assignment data is synchronised into Altus, if the Azure AD user assigned to a Planner task exists as a Named Bookable Resource in Altus, then that Named Bookable Resource will be assigned the corresponding external task in Altus. (Note: Planner is the only external system in Altus where matching of Named Bookable Resources occurs).

If there is a requirement to turn off Planner as an externally enabled system, Altus Administrators should navigate to External Systems in the Settings Area, locate the Planner external system and select to Deactivate that external system.

Linking an Altus Project to Planner

When you select Planner from the Project Schedule drop-down, follow these steps:

  • Select if you would like to create a New Plan or connect to an Existing Plan.

If you select New Plan:

  • Select whether you would like to create a Basic or Premium plan

  • Then enter a name for the Planner plan. The name field will be populated with the Name of the Project you are creating, you can keep this value or change it.

  • Click Create

If you select Existing Plan:

  • Select the plan you would like to link to from the lookup field. Note: tou will only see plans that you have security access to that haven't been linked to an Altus project on the list.

  • Click Create

Board information is currently not synchronised from Planner to Altus.

Planner Logo Update

Microsoft updated their Planner logo in 2024. For any Altus releases that would like this logo updated, please follow the following steps:

  • Open the Planner configuration setting page in Settings > External Systems > Planner Image shows the Planner External System configuration page

  • Update the Icon URL field with the following text:

FAQ

Why isn’t the Bucket field in Planner Premium synchronising?

The Bucket field isn’t included in the .mpp file exported from Planner. Because of this, Altus can’t access or map the Bucket information to corresponding tasks during synchronisation.
